General booking terms and conditions

1. Scope and application

These General Booking Terms and Conditions ("Terms") apply to travel services arranged, sold, or coordinated by Worldmaster International Travel ("Worldmaster", "we", "us", or "our"), including scheduled group departures, private/custom groups, independent packages, inbound and outbound travel, flights, hotels, visa assistance, corporate/MICE travel, and related travel services.

Each quotation, package, Statement of Account, booking confirmation, or other written booking document may contain trip-specific conditions.

Those trip-specific conditions form part of the agreement and, where they differ from these general Terms, the more specific written condition for that booking will apply, subject to applicable law.

2. Enquiries, quotations, and booking confirmation

Submitting an inquiry does not create a booking or reserve travel inventory.

A quotation is based on the information and availability known when it is issued.

Prices, airline seats, hotel rooms, tour capacity, visa requirements, foreign exchange exposure, and other supplier arrangements may change before a booking is confirmed.

Unless the quotation expressly states otherwise, a booking becomes confirmed only when:

  • (a) Worldmaster has received and recorded the required deposit or other required initial payment; and
  • (b) any required supplier confirmation or other stated booking condition has been satisfied.

The existence of a Worldmaster Client Portal account does not by itself mean that a booking is confirmed.

3. Prices and currencies

The applicable quotation will state the price, currency, inclusions, exclusions, and price basis for the booking.

Worldmaster may quote in Philippine pesos (PHP), US dollars (USD), or another stated currency where appropriate.

Amounts in different currencies are separate obligations and are not combined or converted unless an exchange rate or conversion arrangement is expressly stated.

Foreign exchange movements, airline repricing, taxes, fuel surcharges, supplier increases, government charges, and similar changes may affect an unconfirmed booking or any booking where the quotation expressly allows adjustment.

Worldmaster is not responsible for exchange-rate movements charged by the customer's bank, card issuer, remittance provider, or currency-conversion service unless Worldmaster expressly agreed to a fixed conversion basis in writing.

4. Deposits, payment schedules, and final balance

The required deposit varies by trip and supplier and will be stated in the quotation or booking conditions.

Deposits are generally non-refundable once paid because Worldmaster may commit funds, inventory, or supplier charges in reliance on the booking.

Any exception will be governed by the quotation, supplier terms, these Terms, and applicable law.

Installment payments may be allowed.

Where an installment schedule applies, the amount, currency, purpose, and due date of each payment will be stated in the quotation, Statement of Account, or other written booking document.

Unless a different date is stated in the quotation, the final balance is due 30 days before the scheduled departure.

Bookings made within 30 days of departure may require immediate full payment.

Accepted payment methods are those stated in Worldmaster's current payment instructions or quotation.

A screenshot, transfer slip, or uploaded payment proof is not by itself confirmation that funds have been received.

Payment is considered received only after Worldmaster verifies and records it.

If a required payment is not received by its due date, Worldmaster may place affected arrangements on hold, release supplier inventory, cancel affected services, or apply the relevant supplier cancellation terms after reasonable operational follow-up.

Any resulting charges or losses will be handled according to the quotation, supplier commitments, and applicable law.

5. Customer cancellation, changes, and rebooking

Cancellation and rebooking conditions vary because airlines, hotels, tour operators, visa services, transport providers, and other suppliers have different rules.

The quotation or booking confirmation will state the specific cancellation/change basis where available.

Unless otherwise stated:

  • the required deposit is generally non-refundable once supplier commitments have been made;
  • cancellation charges may increase as departure approaches;
  • airfare, visa, hotel, admission, insurance, and other supplier charges may be non-refundable or subject to their own penalties;
  • no refund is generally due for services voluntarily unused, missed, or declined by the traveler after travel has begun, unless required by applicable law or supplier terms.

Where a customer requests a change, Worldmaster will make reasonable efforts to assist.

Changes remain subject to availability, repricing, supplier approval, and applicable fees.

Where a cancellation arises from exceptional circumstances, Worldmaster may be able to offer rebooking, travel credit/travel fund, supplier credit, or another alternative.

Availability and value depend on supplier commitments and the specific booking and are not guaranteed unless confirmed in writing.

6. Scheduled group departures and minimum participation

Some scheduled departures require a minimum number of travelers or depend on supplier group allocations.

If the required group size is not reached, Worldmaster may, depending on the trip and supplier commitments, offer one or more of the following:

  • a revised departure date;
  • a travel credit/travel fund;
  • a refund where applicable;
  • transfer to another scheduled departure; or
  • a private/custom alternative at a revised price.

The exact option available will depend on the affected booking, amounts already committed to suppliers, and applicable law.

"Reserve Your Spot" or similar inquiry language does not itself guarantee a seat until Worldmaster confirms availability and the booking conditions are satisfied.

7. Changes to itineraries, hotels, airlines, and suppliers

Travel arrangements can change for operational, safety, weather, airline, government, supplier, force-majeure, or other reasons outside Worldmaster's reasonable control.

Worldmaster may need to change flight schedules or carriers, hotels or room arrangements, transport, guides or tour coordinators, sightseeing order, meals, attractions, or other details.

Where reasonably possible, Worldmaster will seek a comparable alternative and communicate material changes to the booking contact.

Airline schedule changes, cancellations, delays, baggage rules, seat assignments, and airport requirements remain subject to airline rules and operational decisions.

A material change does not automatically guarantee a full refund in every case.

The remedy will depend on the nature of the change, available alternatives, supplier terms, amounts already committed, and applicable law.

8. Flights, baggage, and airline rules

A package may be land-only or may include airfare.

The quotation will state the applicable basis.

Airline tickets are subject to the issuing airline's fare rules, including rules on:

  • name corrections;
  • rebooking;
  • cancellation;
  • no-show;
  • baggage;
  • seat assignment;
  • schedule changes; and
  • refunds.

Travelers are responsible for providing their names exactly as required by the airline and their travel documents.

Costs arising from incorrect information supplied by the traveler may be charged to the traveler where permitted.

9. Passports, visas, and entry requirements

Travelers are responsible for holding valid passports and meeting entry, transit, health, immigration, and documentary requirements.

Passport-validity requirements differ by destination.

Six months' validity is common but is not universal.

Blank-page requirements, passport condition, visas, transit rules, and other requirements may also apply.

Worldmaster may provide visa assistance where requested.

Visa assistance may include document guidance, application preparation, submission support, appointment coordination, or other services described in the quotation.

Visa fees and embassy/visa-center charges are included only when the quotation says so.

No travel agency can guarantee visa approval.

Visa decisions are made by the relevant embassy, consulate, immigration authority, or visa-processing body.

If a visa is refused, the amount recoverable, if any, will depend on the quotation, supplier commitments, non-refundable services already purchased, and applicable law.

A travel credit or other arrangement may be offered where available but is not guaranteed for every booking.

10. Travel insurance

Worldmaster strongly recommends appropriate travel insurance and may arrange or offer insurance products where available.

Insurance coverage, age limits, exclusions, pre-existing-condition rules, claim procedures, and benefits are governed by the insurer's policy.

Unless the quotation expressly states that insurance is included, travelers should not assume that insurance forms part of the package.

Worldmaster cannot guarantee that an insurer will approve a claim.

11. Accommodation, rooming, and special requests

Hotel standards and room arrangements will be described in the quotation or package.

Common arrangements may include single, twin, double, or triple occupancy.

Family rooms, connecting rooms, specific bed configurations, views, floors, and similar requests are subject to hotel availability and are not guaranteed unless confirmed in writing.

Single supplements or other rooming charges may apply.

Children and infants may travel where the product and suppliers allow it.

Their pricing and conditions are quotation-based.

12. Meals, dietary needs, mobility, and other requests

Travelers should advise Worldmaster as early as possible of dietary requirements, mobility needs, medical considerations relevant to travel arrangements, or other special requests.

Worldmaster will make reasonable efforts to coordinate these needs with suppliers but cannot guarantee that every request can be fulfilled.

Travelers remain responsible for determining whether the trip is suitable for their own health, mobility, and personal circumstances and should obtain appropriate professional advice where necessary.

13. Traveler conduct and responsibility

Travelers must:

  • follow reasonable safety and operational instructions;
  • comply with local laws and immigration requirements;
  • arrive at meeting points, airports, and departures on time;
  • care for their own personal belongings;
  • provide accurate booking and travel-document information; and
  • avoid conduct that endangers, disrupts, or materially interferes with other travelers, staff, suppliers, or the operation of the trip.

Worldmaster may take reasonable action where a traveler's conduct creates a safety, security, legal, or serious operational issue.

Any resulting cost may be charged to the traveler where lawful and appropriate.

14. Third-party suppliers

Some travel services are performed by airlines, hotels, transport companies, guides, tour operators, attractions, insurers, visa-processing bodies, and other travel suppliers.

Worldmaster selects, arranges, coordinates, or contracts with suppliers according to the nature of the trip.

Some scheduled products may also involve trusted partner operators or wholesalers.

Worldmaster remains responsible for performing its own obligations with due care and skill, but cannot control every independent act, omission, delay, cancellation, or operational decision of a third-party supplier.

15. Force majeure and events outside reasonable control

Events outside reasonable control may include severe weather, natural disasters, epidemic or public-health measures, war, terrorism, civil unrest, strikes, airport closures, government restrictions, immigration changes, supplier insolvency, transport disruption, or similar extraordinary events.

Where such an event affects a trip, Worldmaster will make reasonable efforts to provide practical alternatives, rebooking, credits, refunds, or other remedies actually available from the affected arrangements.

Amounts irrecoverably committed to suppliers may affect the amount recoverable by the customer, subject to the quotation and applicable law.

16. Worldmaster support during travel

Worldmaster provides urgent on-trip assistance for active travelers.

The appropriate contact method may be stated in the Travel Voucher or other trip documents.

Urgent support does not mean Worldmaster can guarantee an immediate solution to every airline, weather, government, medical, supplier, or force-majeure problem.

Worldmaster will make reasonable efforts to assist and coordinate a practical response.

Normal reservations and planning enquiries remain subject to normal office/service hours.

17. Refunds and travel credits

Any approved refund will be based on the amount actually recoverable after applicable supplier charges, non-refundable services, penalties, and other lawful deductions.

Processing time may depend on when Worldmaster receives funds or approval from the relevant supplier.

Travel credits/travel funds may be subject to:

  • expiry dates;
  • traveler/name restrictions;
  • destination or supplier restrictions;
  • fare or price differences; and
  • other stated conditions.

18. Group bookings and primary booking contact

For group bookings, one primary booking contact may communicate with Worldmaster and manage information for the travelers in the booking.

The primary booking contact is responsible for passing important booking information, payment schedules, itinerary changes, document requirements, and these Terms to the other travelers.

Where the booking contact provides traveler information on behalf of others, the booking contact confirms that they are authorized to provide that information for the travel arrangements.

19. Information accuracy

Customers must provide accurate names, passport information where required, contact information, and other booking details.

Worldmaster is not responsible for costs arising solely from inaccurate or incomplete information supplied by the customer where Worldmaster could not reasonably have identified the error.

Customers should review quotations, confirmations, tickets, vouchers, and other documents promptly and report errors as soon as possible.

20. Privacy and personal data

Worldmaster processes personal data for enquiries, bookings, traveler management, payments, visa assistance, customer support, legal/compliance requirements, and related travel services.

Personal-data handling is governed by Worldmaster's Privacy Notice and applicable Philippine data-protection law.

Travel arrangements may require necessary disclosures to airlines, hotels, tour operators, insurers, visa-processing bodies, government authorities, and other suppliers.

21. Complaints and problems during the trip

Travelers should notify Worldmaster as soon as reasonably possible when a problem occurs so Worldmaster and the relevant supplier have an opportunity to assist while the trip is ongoing.

After travel, complaints should include enough information for investigation, including the booking reference and relevant dates/details.

Nothing in these Terms removes rights or remedies that cannot lawfully be excluded.

22. Liability

Worldmaster will perform its own travel-arrangement and coordination obligations with reasonable care and skill.

To the extent permitted by law, Worldmaster is not responsible for loss caused solely by:

  • a traveler's own act or omission;
  • inaccurate information supplied by the traveler;
  • an independent supplier act or omission outside Worldmaster's reasonable control;
  • government, immigration, airline, weather, safety, or force-majeure events outside Worldmaster's reasonable control; or
  • circumstances that could not reasonably have been avoided despite appropriate care.

Nothing in these Terms excludes or limits liability where doing so would be unlawful or removes mandatory consumer rights under applicable Philippine law.

23. Website information

Worldmaster takes reasonable care to keep public information accurate, but packages, availability, schedules, supplier details, prices, visa requirements, and travel conditions can change.

The quotation or booking confirmation for a specific traveler controls over general website information where the two differ.

Website use alone does not create a confirmed booking.

24. Portal and website use

Worldmaster may provide a Client Portal and other online facilities for enquiries, booking information, messages, document uploads, and related services. Portal accounts are created through Worldmaster's invitation or booking-claim process.

Customers are responsible for:

  • keeping their portal password and registered email address secure;
  • all activity carried out under their portal account; and
  • informing Worldmaster promptly if they believe their account has been accessed without authorization.

Customers should keep access to their registered email address, because portal invitations, verification links, notifications, and password resets are delivered to that address.

By uploading a document through the portal, a customer confirms that the document is lawful to share, relates to the traveler it is submitted for, and is uploaded with the authority of that traveler or, for a minor, their parent or legal guardian.

The portal supports bookings. It is not an emergency or urgent assistance channel. Urgent on-trip support is provided under Section 16 using the contact details stated in the Travel Voucher or other trip documents.

Customers agree not to:

  • access or attempt to access another customer's information or any non-customer-facing part of the system;
  • interfere with or overload the website or portal;
  • use the website or portal for unlawful purposes or to distribute harmful material; or
  • copy, scrape, or reuse site content for commercial purposes without written permission.

Website and portal features may be changed, suspended, or withdrawn for operational, maintenance, security, or other reasons. Worldmaster aims to keep the portal available but does not guarantee uninterrupted availability.

Worldmaster may suspend or restrict a portal account where necessary for security, suspected misuse, or protection of other customers, with notice where reasonably practicable.

Booking and payment information shown in the portal is provided for the customer's convenience. Customers remain responsible for reviewing their quotation, Statement of Account, and booking documents promptly and reporting any error (see Section 19).

25. Governing law

These Terms and bookings made with Worldmaster are governed by the laws of the Republic of the Philippines, subject to any mandatory law or jurisdiction that applies to a particular transaction or traveler.

The parties should first attempt in good faith to resolve a dispute directly.

Nothing in this clause prevents a consumer from using any complaint, regulatory, mediation, or court remedy available under applicable law.

26. Acceptance of terms

The customer is considered to have accepted the applicable booking terms when the customer, after receiving the quotation or booking conditions:

  • provides written or electronic acceptance;
  • instructs Worldmaster to proceed; or
  • pays the required deposit or other booking payment,

provided the customer has been given a reasonable opportunity to review the terms.

27. Changes to these general terms

Worldmaster may update these General Terms from time to time.

The version applicable to an existing confirmed booking will normally be the version provided or made available when that booking was accepted, together with later changes expressly agreed with the customer or required by law.

Website updates do not automatically rewrite an already confirmed booking.
